Summary
The Office/HR Coordinator (OHRC) supports the Direct Marketing Solutions (DMS) receptionist/front lobby desk and Human Resources (HR) department. The OHRC is the first point of contact for all onsite visitors to DMS facilities including clients, vendors, job candidates, and other main office contacts. The OHRC performs a variety of clerical and administrative duties, which include operating the front desk in a professional manner and providing maintaining employee personnel records and providing HR support to the Human Resources team as directed.
Essential Functions
- Manages the DMS visitor management system to check-in clients, vendors, job candidates, etc., and handles all DMS phone calls in a professional and timely manner.
- Ensure DMS visitors complete all onsite-entry health or safety screens in a safe, secure, and confidential manner; follows all protocols as documented in DMS visitor/vendor policies.
- Administers employee badge program per security and HR guidelines for employees and visitors.
- Sorts and distributes daily company mail; notifies staff members for mail pick-up as required.
- Collects attendance line voicemails and communicates this information daily to the leadership email group.
- Keeps phone numbers and other contact lists updated and available for distribution as requested; works closely with IT to ensure all Outlook phone/cell numbers are accurate.
- With oversight from HR leadership, manages office supply orders, maintaining supplies at appropriate levels and consistent with approved budget.
- Arranges travel and lodging for DMS employees as assigned, ensuring adherence to the DMS Travel & Business Expense policy.
- Scans HR and Payroll-related documents and distributes to appropriate HR team members in a timely manner; files electronic copies per HR filing guidelines.
- As directed, maintains and regularly updates DMS communication centers including HR kiosks at all assigned facilities, with appropriate labor law compliance postings; notifies HR leader when any postings appear to be out of date and/or need revision.
- Assists with recruiting activities as assigned including posting jobs on external sites and in ATS, prescreening applicants, and setting up interviews with hiring managers.
- Onboards new hires in HRIS accurately and in a timely manner.
- Creates and maintains electronic employee personnel records in compliance with company policies, scans appropriate documents into electronic employee folders.
- Handles the administration of employee status changes, including employee separations.
- Administers Employee Engagement Program activities as assigned; presents a supportive, positive approach to these activities at all times.
- Maintains strict employee confidentiality and keeps HR information confidential.
- Updates HR team meeting agendas for scheduled meetings; tracks key HR events on HR Calendar as assigned.
- Reconciles HR department invoices as assigned.
Additional Responsibilities
- Completes additional assignments and special projects from the Human Resources leader as needed.
- Demonstrates behavior consistent with DMS values and the Code of Conduct.
- Learns and adheres to all information technology and data security policies, standards, guidelines, and procedures.
- Learns and adheres to DMS rules and established policies for workplace health and safety.
- Adheres to all other DMS policies and procedures.
- Completes all required compliance training on time and in good faith.
Qualifications
- High School Diploma required
- Minimum 2 Years of administrative support experience
- Human Resources experience preferred
- Solid Microsoft Office Suite experience
- Working knowledge of ADP desired
Schedule – Onsite
Monday-Friday 8:00am-4:30pm
