Position Summary:

The Senior Program Associate on the Mission Control team supports the Project Manager and Assistant Project Manager in managing the New Generation program, which encompasses new builds, special projects, decarbonization, and the revitalization and refurbishment of vessels. This role involves consulting with internal clients across various departments, both shoreside and shipboard, to gather, analyze, and report data, providing actionable recommendations. The Senior Program Associate handles top priority, high-profile, multi-departmental projects, requiring continuous communication and interaction with the Project Manager and Assistant Project Manager. Responsibilities include managing all aspects of project planning, tracking, and status reporting. Additionally, the role requires drafting high-quality technical memos for leaders, as well as preparing presentations and other materials to effectively communicate project progress and initiatives.



Essential Duties & Responsibilities:

  • Collaborates with the Energy team to draft and refine technical memorandums, translating complex information into clear, actionable documentation for internal and external stakeholders.
  • Manages the coordination, development, tracking, and reporting of multiple small to mid-sized projects, ensuring alignment with scope, timeline, budget, and quality objectives.
  • Drives project planning methods and tool usage to project participants to standardized reporting methodologies.
  • Drives adoption of project planning methodologies and reporting tools, promoting standardization and consistency across all project workstreams.
  • Leads and facilitates team meetings, ensuring effective communication, issue resolution, and documentation of key actions and decisions.
  • Consults with client to ascertain and define need or problem to obtain data required for solution.
  • Analyzes data to identify and recommend solutions, including the implementation of alternative methods, revised procedures, or enhancements to existing processes and practices.
  • Owns the creation and modifications of communication documents such as presentations, memos and other program/project related materials for leadership team.
  • Performs vendor consultations/facilitations to monitor progress and ascertain and define any needs or problem areas and obtain solutions.
  • Develops processing methods and practices for communicating project status to extended teams and executive management.
  • Champions a culture of operational excellence by identifying process inefficiencies and proposing scalable solutions to enhance team productivity and project outcomes.
  • Supports data collection and conducts foundational statistical and financial analysis to inform project planning, budgeting, and decision making.
  • Maintains documentation repositories and project archives in compliance with knowledge management practices and audit standards.

Knowledge & Skills:


  • Solid written and verbal communication skills a must. Clear and precise communication at all levels of the organization is essential.
  • Demonstrate expertise in technical writing
  • Excellent interpersonal skills, strength in communicating in a multicultural environment with all levels of employees and management.
  • Excellent organizational and presentation skills.
  • Ability to multi-task in a fast-paced environment.
  • Ability to interpret and analyze technical data and create effective presentation materials using technical writing skills to tailor the message based on the audience.
  • Ability to draft effective memos using clear and concise communication
  • Ability to define problems, collect data, establish facts, and draw valid conclusions.
  • Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables. Software: Proficiency in MS Word, Excel, PowerPoint, Visio, and Project required. Familiarity with AutoCAD system is essential.
  • Internal Candidates: Knowledge of CAR process: budget, approval, reconciliation, and reporting, AMOS, Niku, Lotus Notes Database, SQM filing system, JDE, and Essbase.
  • Ability to read, analyze and interpret contracts, financial reports, legal documents, and
  • government regulations.
  • Ability to clearly and effectively present information to top management, customers and vendors.


Education:

  • B.S. Degree with a concentration in Business Administration, Management Information Systems,
  • Engineering, or a closely related discipline. Additional degrees will be considered with technical background or skills.
  • Experience: 4-6 years within a large corporation or consulting firm.

Financial/Quantitative Responsibilities:


  • Oversees creation and management of small to medium size project budgets with oversight by Managers for projects under their supervision.
  • Works with Supply Chain Management to negotiate contract terms and cost savings with vendors as required.
  • Solid understanding of accounting rules for expense and capital activities.
